2. Information and how the form works

You may provide your name, company, email, phone and transport details: collection point, delivery customer and address, final port, date, container type, refrigeration and additional instructions.

All fields are optional. When you click “Send quote request”, the data are transmitted over HTTPS to FormSubmit to forward your request to trafico@otwindward.com, without opening an email application. The website itself does not store the form in a database. Provide contact details if you would like a reply and include only necessary information, avoiding sensitive data or unnecessary personal documents.

3. Purposes and legal basis

Information is used to answer enquiries, assess and prepare quotes and, where applicable, manage the requested transport. Precontractual requests and service delivery rely on Article 6(1)(b) GDPR. If you act as a company contact, the legitimate interest is handling professional communications and managing the relationship with that company (Article 6(1)(f)). Tax, accounting and other legal duties rely on Article 6(1)(c).

This form does not include advertising subscriptions, automated decisions or profiling.

4. Retention

Enquiry information is retained while the request and necessary follow-up are handled. If a service is contracted, information is retained during the contractual relationship and applicable statutory periods. Afterwards, it is deleted or restricted where needed to address liabilities until the relevant limitation periods expire.

5. Recipients and external services

Enquiries go to the selected department: Traffic for quotes and transport, and Administration for invoices and documentation. Email and technology support services involved may process information needed to provide their services. Information may also be disclosed to authorities where legally required and to parties necessary to carry out contracted transport.

Your email application and Google Maps, when you open “Get directions”, are subject to their own privacy terms. The hosting platform may process technical connection and security data. International transfers depend on the providers used; contact Administration for specific information on providers, processing countries and applicable safeguards.

FormSubmit (Devro LABS) processes the submitted fields to deliver the request by email. Its documentation states that submissions are retained in its archive for 30 days, including submissions pending activation. See its privacy policy. The form only contacts this provider when you submit a request; visiting the page does not send your form contents.

6. Your rights

You may request access, rectification, erasure, objection, restriction and, where applicable, portability by contacting our privacy email or registered office. Explain which right you wish to exercise and how we should respond. Additional identity information will only be requested where necessary. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.

Requests are normally handled within one month, subject to statutory extensions. You may lodge a complaint with the Spanish Data Protection Agency.

7. Cookies and updates

The website code does not include advertising or analytics tools, or store form fields in cookies or local storage. This does not exclude technical authentication, hosting or security mechanisms operated by the platform. This information must be updated if the website functionality changes.
